Job Overview

Twain is looking for an Office Manager to join our team!  As the Office Manager, you will coordinate the logistics that make Twain a productive and welcoming place to work.  The ideal candidate is known for his/her people skills, can manage multiple projects at a time, has an eye for detail and enjoys planning and executing events.

Primary Responsibilities

  • Receive visitors by greeting and directing them appropriately; ensure visitors check in and company personnel is aware of the visitor arrivals
  • Receive and screen incoming calls
  • Provide administrative assistance as needed, including arranging travel and accommodations for employees
  • Assist with developing office policies and procedures as well as overseeing adherence to office policies and procedures
  • Manage all company conferences, including registration, sponsorships, giveaways; design and order swag for conference events
  • Plan and execute company events, including quarterly company-wide meetings, happy hours, holiday and anniversary parties, annual charitable event, annual company picnic, and celebrations
  • Provide high-quality administrative support and assistance for two executives
  • Manage and maintain executive’s schedules, appointments and travel arrangements
  • Maintain common spaces, stocking conference rooms and kitchen (office supplies, food and beverage)
  • Review and approve company-wide office supply acquisitions and office supply requests from employees
  • Own company-wide communications, including announcements, and facilities updates
  • Receive, sort and distribute incoming mail and packages; processes postage for daily mail and delivers out-going mail to post office, as necessary
  • Coordinate logistics, including ordering furniture, designing seating plans, and determining best usage for our space
  • Manage facility vendors, equipment, correspondence and contracts
  • Serve as the point of contact between Twain and building management
  • Manage office security and security system and serve as the point of contact between Twain and our security providers
  • Provide oversight over office emergency evacuation plan and update, as needed
  • Maintain company telephone system including set up and troubleshooting of the system
  • Coordinate Twain’s office move: we are moving to a bigger, more awesome office space and need someone to help lead the charge!
  • Perform other duties, as needed
  • Special projects as assigned


  • Knowledge of standard office administrative practices and procedures
  • 2+ years’ experience supporting individuals at the executive level strongly preferred
  • Strong organizational skills, project management skills and attention to detail
  • Strong interpersonal, communication and facilitation skills
  • Resourceful and independent with strong problem-solving capabilities
  • Confident and professional on the phone with patience and a positive attitude
  • A demonstrated ability to work independently and plan ahead to anticipate needs
  • Strong written and verbal communication
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, Powerpoint, Visio) and Adobe Acrobat
